Job Title: Administrative Assistant II/Executive Assistant
Duration: 12 months contract with a high possibility of extension                     
Location: Jackson, MI 49201
Schedule: Hybrid schedule;Onsite presence required Mondays, Tuesdays, and Thursdays, with remote work permitted on Wednesdays and Fridays.
 
Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant/Executive Assistant to provide comprehensive administrative support to three Executive Directors within our IT department. The successful candidate will possess strong proficiency in Microsoft Office, particularly in Outlook, and preferably have experience with Microsoft OneNote.
 
Responsibilities:
  • Perform a variety of administrative tasks including typing, filing, taking dictation, data entry, and preparing forms, reports, and presentations.
  • Manage calendars and schedules for the Executive Directors, including travel scheduling and coordination.
  • Maintain daily production reports and assist with miscellaneous office tasks as needed.
  • Coordinate office space and ensure smooth office operations.
  • Utilize Microsoft Office programs such as Word, Excel, and PowerPoint for various tasks including presentation development and report generation.
  • Track, maintain, and report on various inventories.
  • Handle multiple tasks and prioritize conflicting calendar priorities effectively.
  • Assist visitors and provide excellent customer service.
  • Adhere to company policies and procedures with accuracy and attention to detail.
 
Qualifications:
  • 2+ years of experience as an Administrative Assistant or Executive Assistant.
  • Proficiency in Microsoft Office programs (Word, Excel, PowerPoint);experience with Visio and OneNote is a plus.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Ability to perform standard to complex office tasks with precision.
  • Experience using electronic calendaring systems to schedule meetings for multiple attendees.
  • Results-oriented with a proactive approach to problem-solving.
  • Excellent interpersonal skills and ability to work effectively in a team environment.
