Document Control Assistant III
Contract Duration: Contract through December 01, 2026 (High potential for extension)
Location: Jackson, MI 49201
Work Schedule: Hybrid (On-site: Monday, Tuesday, Thursday | Remote: Wednesday, Friday)


Position Overview
The Document Control Assistant III will provide comprehensive administrative and document management support to Project Managers and Engineering teams within CMS Energy. This role is responsible for maintaining accurate project documentation, ensuring compliance with company standards, and facilitating smooth communication among project stakeholders. The ideal candidate will possess strong organizational skills, a keen eye for detail, and experience with document control systems such as ProjectWise and Unifier.
 
Key Responsibilities
  • Provide administrative and document control support to Project Managers across multiple projects.
  • Attend project meetings and manage meeting minutes using Unifier;distribute documentation to stakeholders.
  • Coordinate project meetings, events, and team sessions.
  • Collect and organize documentation required for Project Gate Reviews (1–5);participate in review meetings and provide updates.
  • Prepare professional presentations and maintain accurate project contact lists.
  • Monitor and update project goal tracking sheets and Weekly Operating Reviews in Unifier.
  • Assist with preparation and assembly of bid packages;support bid evaluations and supply chain documentation.
  • Manage communication with internal and external stakeholders, providing timely responses and project information.
  • Request and manage project folders in ProjectWise and project shells in Unifier;ensure proper user access setup.
  • Track permit and material statuses;assist in closing permits.
  • Review and process invoices;maintain and update the project playbook.
  • Upload, maintain, and manage risk registers, submittals, and transmittals in Unifier.
  • Review As-For-Construction (AFC) drawing packages for accuracy and completeness.
  • Create and transmit construction document sets to contractors;monitor RFI and PCN logs for timely resolution.
  • Conduct documentation audits and project closeout meetings.
  • Ensure pressure test documentation, project forms, and redlines are completed and submitted on time.
  • Maintain document control per company standards, including proper metadata and attribute selection in ProjectWise.
  • Request purchase order closures and submit documentation for work order completion.
 
Required Skills & Qualifications
  • Minimum of 3 years of experience in document control or project administration.
  • Strong organizational and multitasking skills with the ability to manage multiple projects simultaneously.
  • Experience with document control systems such as ProjectWise and Unifier (required).
  • Working knowledge of SAP preferred.
  • Familiarity with natural gas utility projects strongly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
 
Education
  • Required: High school diploma or equivalent.
  • Preferred: Some college coursework or related technical training.
