Job Description
The Document Control Specialist III will join the Electric Distribution Engineering (EDE) Document Management team, playing a critical role in managing electrical engineering records (ERC) throughout the planning, execution, and closeout phases of capital projects. The primary responsibility will be supporting document control functions for construction projects, while also assisting with other document control activities across the EDE team. The successful candidate will work closely with engineering personnel to ensure accurate documentation is processed and managed in accordance with established procedures.

Job Description
The Document Control Specialist III will join the Electric Distribution Engineering (EDE) Document Management team, playing a critical role in managing electrical engineering records (ERC) throughout the planning, execution, and closeout phases of capital projects. The primary responsibility will be supporting document control functions for construction projects, while also assisting with other document control activities across the EDE team. The successful candidate will work closely with engineering personnel to ensure accurate documentation is processed and managed in accordance with established procedures.
Key responsibilities include:
- Collaborating with engineering teams to ensure all document management practices are followed, including reviewing and guiding on documentation requirements.
- Processing and maintaining project records, including drawings, manuals, transmittals, change notices (ECN), and other engineering-related documentation.
- Supporting the electronic database for tracking and distributing documents and vendor submittals.
- Reporting project document activities during Daily, Weekly, and Monthly Operating Reviews.
- Managing controlled document numbers, ensuring the proper issuance of critical asset documents.
- Auditing and updating project records for accuracy and completeness.
- Ensuring that construction and project teams have access to the necessary documentation.
Essential Functions
- Strong communication skills with an emphasis on customer service.
- Ability to manage multiple tasks and adjust priorities swiftly in a dynamic environment.
- Understanding the impact of actions on internal systems and processes.
- Demonstrated leadership, team-oriented attitude, and the ability to work independently on complex projects.
- Proficiency in project management and document control software, such as SAP and ProjectWise.
- Capable of organizing and prioritizing tasks effectively, ensuring efficient delivery of project milestones.
- Strong analytical skills, with the ability to resolve complex issues and communicate effectively across teams.
- Regular interaction with engineering, plant personnel, and drafters to ensure smooth document flow.
- Physical handling of large documents, including rolled prints, when needed.
- Ensure compliance with safety protocols and company standards.
Required Qualifications
- Education: High school diploma or equivalent.
- Experience: 2–4 years of experience in document control, records management, or related roles.
- Software proficiency: Experience with ProjectWise, Primavera Unifier, CM14, Prolog, or other document control software.
Preferred Qualifications
- Experience in clerical, administrative, or document control roles, especially in construction or engineering projects.
- Knowledge of database management.
- Relevant coursework or an associate degree in Information Science or Data Processing Technology.
- Familiarity with Adobe Pro, Plotter, and scanner operations.
- Utility, engineering, or construction document control experience is highly preferred.
