Office Experience Specialist
Job Description
Summary:
The Office Experience Specialist provides both comprehensive event planning support to EPRI Event Planners as well as serve as the primary contact for the DC office. This role will be directly responsible for managing the DC office, ensuring all equipment is functioning properly, collaborating with key personnel from other functions, and presenting a professional elevated in office experience for all staff and guests. This position requires excellent customer service, strong time management, extreme accuracy and attention to detail.
Key Responsibilities:
Answers all incoming calls. Routes calls to appropriate parties or takes messages
Manages employee and guest access to the building
Greets visitors, determines the purpose of their visit and directs them to the appropriate office personnel
Assists with sorting and sending mail
Performs typing and other clerical duties as directed
Performs miscellaneous office duties as directed
Serves as the onsite contact for events hosted in the DC office
End-to-end oversight and management of each event registration site they create, including all associated communications and adjustments/updates throughout the registration period with the utmost attention to detail and accuracy
Owns the creation, development and deployment of event communication schedule
Facilitates the collection of key data elements pertaining to each events attendee registration counts, email delivery statistics, event/session participation reporting and satisfaction survey data for each event
Cultivate and maintains effective relationships internally with key stakeholders, internal departments through regularly scheduled communication schedules to ensure all EPRI regulations and event protocols are adhered to
Ensures EPRI branding is properly applied throughout all event landing pages, registration sites and event communication pieces
Assists attendees with registration issues and questions as needed and requested by key stakeholders
Serves as an internal expert on event registration and communication protocol and tools
Actively seeks opportunities to assist staff event planners and assigned key stakeholders with planning tasks, execution of events and event close-out documentation
Constantly identifies and strives for continuous improvement of EPRI Event processes, procedures and tools
Education and Experience:
3 years experience in a customer service related field
Experience managing competing/concurrent priorities with an emphasis on customer service and strong communication
Proficiency with Microsoft Office Suite, especially Excel, Word and PowerPoint
Working knowledge of event management system(s), web-based registration and communication tools
Familiarity of leading tools including event apps, communication and registration tools, and other tools that lend themselves to promoting engagement and enhancing the event experience, a plus Skills and Attributes:
Ability to understand and incorporate EPRI Strategic Marketing and Communications team visions including consistent branding, communication and event experience guidelines in a purposeful, impactful way to all EPRI events
Exceptional attention to detail and follow-up; ability to garner trust and confidence
Expert people skills, particularly in terms of building confidence, demonstrating creativity and follow-through in an effort to support EPRI Event Experience Partners effectively with colleagues, customers and vendors
Takes accountability for personal excellence; confident & self-starting
Exceptional communication and follow-up, both verbal and written
Must be self-directed with strong project management
Poise and grace under pressure
Results-oriented, solid work ethic
Ability to manage time and competing/concurrent priorities
Ability to garner trust and confidence, mentor Event Experience Team staff and other internal staff EPRI in event protocol
Unquestionable ethics and integrity
Good interpersonal and influencing skills; thoughtful, consultative, offers recommendations
